Business Calling for AI Employees: Extensions, Transfers and Human Handoff Explained
If an AI answers your phone but lives outside your phone system, every transfer is a dead end. Here is what it means for AI Employees and staff to share one extension plan — in plain language.
Most businesses that add AI to their phones end up with two phone systems.
There is the one the team uses — extensions, a main number, someone on reception, a way to transfer a call to accounts. And there is the AI, sitting on a separate number somewhere else, answering calls in its own world.
It works until someone needs to be transferred. Then the seam shows, and it shows to the customer.
This article explains what it means for AI Employees and human staff to belong to one phone system, and why the answer is mostly about transfers.
Start with the extension
An extension is the oldest idea in business telephony: a short internal number that reaches a person, wherever they are. Dial 204, get whoever is on 204.
The useful move is to stop treating that as a human-only concept. If an AI Employee has an extension, then everything your phone system already knows how to do with an extension works on it:
- A colleague can dial it directly.
- It can be a member of a department.
- A call can be transferred to it, not just from it.
- It can be an after-hours target for a number that normally rings a person.
That last one is worth sitting with. "Ring reception during business hours, and the AI Employee after 6pm" is not a special AI integration. It is an ordinary routing rule, and it only stays ordinary if the AI Employee is a normal member of the numbering plan rather than a bolt-on.
Departments are where it gets useful
A department is a group that a call can reach — sales, service, accounts. Most systems let you ring everyone at once, or in order, or the person who has been idle longest.
Once AI Employees hold extensions, a department can mix them with people. A few arrangements businesses actually want:
- AI first, people as fallback. The AI Employee takes the call; if it cannot handle it, or nobody configured it for that case, the call falls through to the team.
- People first, AI as overflow. The team gets first refusal. When everyone is busy — the 4pm rush, the Monday morning spike — the AI Employee picks up instead of the caller hearing a busy tone.
- AI after hours. The department rings people during the day and an AI Employee outside those hours, so the 9pm enquiry is answered rather than lost.
None of these require anyone to think about AI. They are routing decisions of the kind whoever manages your phones already makes.
Transfers: the part that actually decides whether this works
Here is the difference that matters more than any other feature.
A blind transfer moves the call and nothing else. The person who picks up gets a ringing phone and a stranger. If your AI is on a separate system, this is the only kind of transfer it can do — there is nowhere to put the context, because the two systems have no shared idea of what a conversation is.
The customer experiences this as: "I just explained all that to the robot." And they are right, and they resent it, and the AI has made things worse than a voicemail would have.
A transfer with context moves the conversation with the call. The person picking up sees who is calling, what they asked for, what the AI Employee established, and — crucially — what it could not decide and why it stopped.
That last field is the one people underestimate. Knowing why the AI escalated tells the person what they are being asked to do. "Caller wants a refund above the approval limit" is a different pickup from "caller became frustrated" is different again from "caller asked something outside this role's knowledge."
If you evaluate one thing when comparing AI phone products, evaluate this. Ask to see a transfer. Ask what the human sees. If the answer is "a transcript, afterwards", the AI is not part of your phone system.

Handoff in the other direction
Less discussed, and worth planning for: a person handing a call to an AI Employee.
It is more useful than it sounds. A salesperson finishing a conversation can pass the caller to an AI Employee to capture the details and arrange the follow-up, rather than typing notes for ten minutes after every call. The AI is doing the admin, in the same call, while the person moves on to the next one.
This only works if the AI Employee is a normal transfer target — which is the extension point again.
Inside the company versus out to the world
There is a distinction here that has cost implications, and it is easy to miss.
A call between two extensions inside your organisation — one colleague to another, or a colleague to one of your own AI Employees — never touches the public telephone network. Nobody is carrying it anywhere. It should cost you nothing in calling minutes.
A call to or from a customer does travel over a carrier's network, and that is a real external cost.

What about the number itself?
The most common objection to an AI phone system is not the AI. It is the fear of a telecoms migration — porting numbers, cancelling contracts, a week of chaos while the phones do something unexpected.
You usually do not need one. A checklist for evaluating any AI phone product
- Can the AI hold an extension in the same numbering plan as staff?
- Can it be a member of a department, alongside people?
- Can it be an after-hours or overflow target for an existing number?
- When it transfers to a person, what does that person see? Ask for a demonstration, not a description.
- Can a person transfer a call to it?
- Are internal calls billed differently from external ones?
- Do I have to move my number to use it?
Products that answer these well are phone systems that understand AI. Products that answer them badly are AI that happens to have a phone number — which is a different, smaller thing, and usually priced as though it were not.
